Club Policies and Rules

 

A Student Club or Organization must:

  • Clubs must have a minimum of 7 currently registered CCSJ students as active members on its registry.

  • Clubs must maintain an open membership program that encourages prospective members to join.  All meetings and events must be open to the entire CCSJ student union.

  • Clubs or organization affiliated with a parent organization must submit operating documents of the parent organization (constitution and bylaws) along with a CCSJ organization application.

  • Have an elected president and vice-president and club advisor.

  • Provide at least two activities open to the CCSJ community per semester that are educational, recreational, cultural, or social in nature and do not demonstrate danger, acts of violence, or disruption.

  • Clubs need to appoint a member to attend monthly SGA Executive meetings.  Contact Student Activities for meetings days and times.

  • When clubs or organizations plan to solicit gifts or raise funds by approaching individuals, businesses or agencies outside of Calumet College of St. Joseph, they are required to obtain prior approval.

  • Abide by the created club constitution and by all CCSJ policies, procedures, and student expectations as well as federal, state, and local laws.

Club Constitutions
All student organizations must also create and maintain a constitution. A Constitution contains the fundamental principles which govern an organization's operation. The development of a Constitution will serve to clarify your purpose and delineate your basic operating structure. It will also allow members and potential members to have a better understanding of the organization. You should create a constitution that is representative of your organization’s goals, purposes, and practices. The constitution will help the organization function in the future, prevent miscommunication within the group, and lay the groundwork to handle a number of issues. Be advised that each student group is unique and should have a constitution that reflects this point. A sample constitution is available as a guide to help you get started and to highlight important ideas to consider.
The following 6 sections MUST appear in EVERY student club constitution:

Club Officer Duties and Responsibilities: The President and Vice President of the student club are responsible for submitting all required paperwork and attending all required meetings with the Coordinator of Student Activities.  Student leader must plan and lead the club’s meetings and club activities, as well as, abide by the constitution of the club.

Club Expectation Policy: Each club must meet at least twice a month and submit meeting minutes to the Coordinator of Student Activities. Each club must present two activities/events per semester that is open to the entire student union. Fundraising activities are generally not considered events; however, exceptions are possible at the discretion of the Coordinator of Student Activities. All funds collect from events must be submitted the day after the event.  Event calendars must be submitted to the Coordinator of Student Activities at the end of the school year.

Statement of Non-Discrimination: Membership and participation in club activities and elections in the proposed club/organization must be without regard to characteristics as age, color, disability, ethnicity, gender, marital status, national origin, race, religion, sexual orientation, or veteran status.

Statement of selecting and replacing club/organization officers: Each club/organization must determine procedures for elections and removing officers from posts due to graduation, academic ineligibility, suspension, or other scenarios that warrant officer removal or replacement.

Statement of Compliance: Each club is responsible for knowing and abiding by all CCSJ policies, procedures, and student expectations as well as federal, state, and local laws.
